The Chart of accounts is a list of all accounts available in the system. You can manage it in the Tools → Accounting → Chart of accounts tab.

If the integration has not been set up, the user can:

Upload the Chart of Accounts

To upload the Chart of accounts as an excel .xlsx file - click the Choose file button (1). A preview will be displayed. All the changes will be described in an easy-to-understand manner.

Click the Apply button to upload the chart. Your existing chart of accounts will be overridden.

Download the Template or Existing Chart of Accounts

You can also prepare the new chart of accounts based on the out-of-box template or on the existing chart. To do so, click the Download template (2) or Download chart of accounts (3) button. The .xlsx file will be save saved to your default download folder. You can then open it, edit and upload it as described in the section above.

You can also use the list for any other purposes.

Check Accounts of all Journals in the Created Batches

As mentioned, the batches are created in compliance with the settings of the Journals available in the "Journal settings" section. There might appear a situation when the Chart of accounts was edited after the Journal settings had been defined, and some of the account used in a journal were marked as deleted. Therefore,

When the account is deleted (User clicks 'Delete') warning message appears. 'Account is used in one or more journals. Are you sure you want to delete it?'

If Account has not been received by API or User chose "Override' and account is not in the Excel file or User chose to delete account in the case above, then Banner is shown in the Accounting and Journal settings tabs "One or more accounts used in the Journals were deleted". On the Journal settings tab , deleted account code, and Account description should be highlighted.

  1. Click the Add button (4)

  2. In the emerged pop-up, define

    1. Code*: unique ID of the account; mandatory field

    2. Name*: human-readable name of the account; mandatory field

    3. Description: any additional information about the account; optional field

  3. Click the Save button. The account will be added to the chart.

Edit an Account

Any of the accounts available in the chat can be edited. Click the pencil icon (6) next to the account. The “Edit account” window will emerge. It’s got all the same fields as the “Add account” window in the section above.

Make the necessary changes and click Save.

Delete an Account

Click the trashbin icon (7) next to the account and confirm the action to delete an account.

Hide an Account

Another action that can be done to one, several, or all accounts is hiding them. If an account is hidden, it will not be displayed in any of the account selection dropdowns of the journal settings. This way, accounts that are not currently worked with can be easily hidden not to overwhelm the user and simplify their work.

In order to hide an account, click the checkbox below the Hidden column.

The Hide all button, will check all the accounts in the chart.

Hidden accounts are not removed from the system and you can show them back by simply unchecking the box for each specific row.

Now you can proceed to Setting up the Journals
